Job Summary

This position will be responsible for the daily operations of the Public Service Programs office in support of the Dean of Public Service Programs.

Required Qualifications

High School diploma or equivalent
Two years of clerical and general office experience
Knowledge of general office equipment including copier, fax machine, printer, scanner, and multi-line phone
Excellent written and verbal communication skills
Strong organizational skills
Excellent public relations skills
Experience with department budgets
Computer literacy to include Microsoft Office Suite with proficiency in Word, Excel, and Outlook

Preferred Qualifications

Associate Degree or some college-level coursework
Prior experience working in a school or college administration setting
Knowledge of Jenzabar or other college software, ImageNow, Sharepoint, and People Admin

Essential Functions

Assist the Dean of Public Service with general office duties, including receptionist, telephone communication, and public contact
Assist the Dean of Public Service with office correspondence and communications and coordination of Public Service Program areas and departments
Oversee and coordinate office operations such as scheduling appointments, maintaining office inventory of supplies, and division inventory of furniture and equipment
Manage and generate purchase orders for the Division
Communicate and assist with oversight of division budgets
Oversee and coordinate office payroll and personnel records
Prepare agenda and maintain minutes for meetings as requested by the Dean
Assist the Dean with Public Service programming and initiatives
Coordinate activities with department personnel in program areas
Other duties as assigned

Physical Demands

Frequently moves equipment or paperwork weighing up to 20 pounds
Must be able to remain in a stationary position 50% of the time
Use of manual dexterity
Repetitive use of a keyboard at a workstation
The person in this position frequently communicates with others and must be able to accurately exchange information
Office setting
Duties indoors and some occasional outdoor duties
